TransitPin Operator Guide¶
This guide is for dispatchers and operators who run day-to-day student transportation in TransitPin. It walks through the operator dashboard step by step, in plain English. No engineering knowledge is needed.
Where to log in¶
Open your browser to:

Enter the email and password for your operator account and click Sign in. The system checks your role automatically:
- Operator, admin, dispatcher, staff, platform admin, or driver accounts go to the operator dashboard (admin.html).
- Parent, guardian, customer, or family accounts go to the parent portal (parent.html).
If you have an operator account you will land on the dashboard. You can also go straight to the dashboard once signed in at:

The dashboard at a glance¶
The left sidebar has sections for Dashboard, Registrations, Routes & Traffic, and more. The top of the Dashboard page shows four live stat cards:
- Active Riders - number of children currently riding today
- Pending Approvals - registrations awaiting your review
- Routes Active - total routes configured
- Active Buses - buses currently on the road
Below those are a Pending Registrations list, a Route Status summary, and a Live Fleet Map. The numbers and map refresh from the live backend, so what you see is the current state, not a screenshot.
The 11 operator capabilities¶
Here are the operator dashboard features, one by one, with how to use each.
1. View the routes table¶
Click Routes & Traffic in the left sidebar (or the Routes page). You see a table with one row per route and these columns:
- Route - the route name
- Driver / Students - the assigned driver and the student count
- Stops - number of stops on the route
- Miles - route length in miles
- Status - Active (green), inactive, or canceled
- Mode - Published or Draft
- Actions - Edit and Delete buttons
The route list loads from the live route data, so newly added routes appear here immediately after you save them.
2. Sort and filter routes¶
Above the table are three tabs: All Routes, Published, and Drafts. Click a tab to show only routes in that mode. The route count badge next to the title updates to match.
Three column headers are sortable: Route, Driver / Students, and Status. Click the header to sort by that column. Click again to reverse the order. A small arrow (up or down) appears next to the active sort column.
3. Add a route (with stops and riders)¶
On the Routes page, click the "+ Add Route" button. A window opens with these fields:
- Route Name - for example "Northside Morning"
- Driver - the driver's name
- Bus - a dropdown of available buses (or "No bus assigned")
- Mode - Draft or Published
- Status - Active, inactive, or canceled
- Stops - a list where you add each stop
For each stop, click "+ Add Stop" to add a row. Each stop row has:
- Stop name (for example "Maple & 4th")
- Address (used to place the stop on the map)
- Time (the pickup or drop-off time)
- Riders (the children at that stop, separated by commas)
Type each child's name in the Riders field, separated by commas, like this:
Alex Doe, Sam Lee, Jordan Kim
Click "+ Add Stop" again to add more stops. When you are done, click "Save Draft" to keep it unpublished, or "Save & Publish" to make it live.
There is also a "+ Add AI Route" button next to "+ Add Route". It opens the AI Route Builder, which helps build a route from your school and student data. Use it when you want a suggested route to start from, then adjust manually.
4. Edit a route¶
In the routes table, click the Edit button on a route's row. The same window opens, pre-filled with that route's current name, driver, bus, mode, status, and all its stops (including each stop's riders). Change anything you need, then click "Save Draft" or "Save & Publish". The table refreshes with your changes.
5. Delete a route (with confirmation)¶
Click the Delete button on a route's row. A confirmation popup asks:
Delete this route? This permanently removes the route and its stops.
Click OK to delete, or Cancel to keep it. Deletion is permanent, so the confirmation is your safety check.
6. See a route's stops and riders¶
Click a route name in the table (it is a highlighted link). A detail window opens showing:
- The driver
- The mode (Draft or Published)
- The stop count
- The full stop list, in order, with each stop's name, address, time, and the rider names shown as small chips
Close it by clicking outside the window.
7. Autosave drafts and manual save¶
While the Add/Edit Route window is open, your work is saved automatically as a draft every 2.5 minutes. A note inside the window reads "Draft auto-saves every 2.5 minutes" and shows a checkmark with the last save time when it runs. This means you will not lose work if you get interrupted.
You still have manual control:
- "Save Draft" stores the route as a draft (visible under the Drafts tab).
- "Save & Publish" makes the route live (visible under the Published tab and on the map).
Autosave always writes as a draft, never as published, so a route is only live when you explicitly publish it.
8. Dashboard stats¶
The four stat cards on the Dashboard page come from the live backend and mean:
- Active Riders - children actively riding today
- Pending Approvals - registrations waiting for you to approve or reject
- Routes Active - total configured routes
- Active Buses - buses reporting in as on the road
Each card has a small sub-line spelling out the number (for example "4 on the road"). These update when data changes; re-open the dashboard or take an action to refresh them.
9. Live fleet map¶
The Dashboard page includes a Live Fleet Map. It polls the backend for current bus locations and shows each bus as a colored dot on the map:
- Green dot - bus is active (on the clock)
- Gray dot - bus is not active
Click a bus dot to see its driver name, status, speed in mph, heading, and the time its location was last updated.
10. Pin a driver on the map¶
Click a bus on the map to select it, then click the "Pin Driver" button above the map. The map locks onto that bus and follows it as it moves. Click the button again (or it toggles back) to release the pin and move the map freely again.
11. Route polylines on the map¶
Routes with at least two geocoded stops are drawn on the fleet map as colored dashed lines connecting their stops, with a marker at the first and last stop. Each route gets its own color, so you can see at a glance which route goes where. This works on both the dashboard map and the full-screen fleet view.
How geocoding works (when adding stops)¶
When you type a stop address and save, TransitPin sends the address to the TomTom geocoding service, which returns the stop's latitude and longitude. Those coordinates are what place the stop on the map and draw the route line.
In plain terms: type a real street address, and the system figures out where on the map it belongs. If an address cannot be matched, the stop is still saved, it just will not appear on the map until the address is corrected. Using a full address (street, city, state, ZIP) gives the most reliable results.
Traffic and weather¶
Two extra cards on the Routes & Traffic page help with dispatching:
- Live Traffic - a TomTom traffic overlay with a toggle, showing current road conditions.
- Today's Weather - Savannah - local weather pulled from a free weather service.
The Live Fleet Map also has a Traffic toggle that overlays live traffic directly on the map.
Registrations¶
The Registrations page lists rider registrations with filters (All, Pending, Approved, Rejected) and a search box. From here you approve or reject each registration. Pending registrations also appear on the Dashboard page under "Pending Registrations", with quick approve/reject buttons.
Tips¶
- Save drafts freely and publish only when a route is ready. Drafts never show up for drivers or on the live map as published routes.
- Use the sort and Drafts/Published tabs to find routes quickly as your route list grows.
- If a route will not show on the map, check that its stops have real, complete addresses.
